Information Clause on the Processing of Personal Data for Participants of the Event „Final Conference of the 'Applied Research’ Programme: Reflecting on Results and Looking into the Future”

In accordance with the information obligation under Article 13(1) and (2) of the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) (OJ EU L 119 of 04.05.2016, p. 1, as amended), hereinafter referred to as GDPR, we inform you that:

  1. The controller of your personal data is the National Centre for Research and Development (hereinafter: „NCBR”).

    You can contact the DPO regarding all matters related to the processing of your personal data at NCBR and your rights under the GDPR.

  4. Your personal data, including:
    1. your name, surname, institution/company name, email address, phone number, and information regarding accessibility needs for persons with special requirements, will be processed for the purpose of organizing and conducting the event „Final Conference of the 'Applied Research’ Programme: Reflecting on Results and Looking into the Future,” which will take place on November 14, 2024, in Warsaw. The legal basis for data processing is Article 6(1)(e) and Article 9(2)(g) of the GDPR, in connection with the Act of 30 April 2010 on the National Centre for Research and Development and the Act of 19 July 2019 on ensuring accessibility for persons with special needs.
    2. Your dietary preferences will be processed for the purpose of organizing the aforementioned event, based on Article 6(1)(a) of the GDPR.
    3. Your voice and image will be processed for promotional and informational purposes, based on Article 6(1)(a) of the GDPR in conjunction with Article 81(1) of the Act of 4 February 1994 on copyright and related rights.
  5. The recipients of your personal data may include entities authorized to process it based on the law or contracts with the Controller, in particular:
    1. Entities providing assistance and technical support for IT systems used by NCBR, and entities providing public relations, promotion, and stakeholder engagement support, including: NCBR+ Sp. z o.o., ul. Chmielna 69, 00-801 Warsaw.
    2. The company organizing the aforementioned event on behalf of NCBR: KDK Sp. z o.o., ul. Mokotowska 14, 00-561 Warsaw.

    Furthermore, your personal data, such as your voice and image, may be published on the NCBR website, social media, newsletters, and YouTube channel.

  6. Your personal data specified in point 4(a) will be processed for the duration of the organization and the event itself. The data will then be stored indefinitely for archival purposes in accordance with the Uniform File Classification System of the National Centre for Research and Development. Personal data processed based on your prior consent will be processed until the consent is withdrawn.
  7. Under the GDPR, you have the right to request from the Controller:
    1. Access to your personal data;
    2. Rectification (correction) of your personal data;
    3. Erasure or restriction of the processing of your personal data.
  8. Where the processing of personal data is based on consent, you always have the right to refuse consent or withdraw consent previously given. Withdrawing consent does not affect the legality of the processing carried out before the withdrawal.
  9. If you believe that the processing of your personal data violates data protection regulations, you have the right to lodge a complaint with the supervisory authority, which is the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, ul. Stawki 2, 00-193 Warsaw, Poland, phone: +48 22 531 03 00).
  10. Providing personal data such as your name, surname, institution/company name, email address, and phone number is necessary to participate in the event „Final Conference of the 'Applied Research’ Programme: Reflecting on Results and Looking into the Future.” Providing other data is voluntary.
